In-house IT

An employee or internal team owns day-to-day technology. This model gives the business direct control and deep familiarity with internal systems. It also means the organization must plan for coverage when that person is unavailable and decide how specialist work—security, cloud migrations, networking, compliance, or recovery—will be handled.

In-house IT may fit an organization with enough recurring work to justify dedicated staff and the management capacity to support that function.

Fully managed IT

A managed service provider owns an agreed set of recurring responsibilities. The agreement may include help desk support, monitoring, endpoint management, Microsoft 365 administration, security controls, backups, vendor coordination, and planning. Coverage varies by provider, so the contract and service schedule matter more than the category name.

This model may fit a business that wants one accountable technology partner and does not maintain a complete internal IT department.

Co-managed IT

An internal IT person or team shares responsibilities with an outside provider. The internal team may retain business applications, strategy, or high-context work while the provider covers the help desk, monitoring, security operations, projects, or after-hours escalation.

The model works best when ownership is explicit. If both teams assume the other is handling an alert, renewal, backup test, or user request, the arrangement creates gaps instead of capacity. A written division of responsibilities is essential.

On-demand support

The business requests help when something breaks or a project begins. This can be appropriate for organizations with simple environments and low support volume. Costs are less predictable, and preventive work may not occur unless someone schedules it.

When comparing on-demand support, ask about minimum charges, travel, after-hours rates, response expectations, and whether the provider retains current documentation between visits.

Project-based specialists

A specialist delivers a defined migration, security assessment, network upgrade, phone deployment, or other project. Project work is often necessary even when a business already has internal or managed support. The handoff plan matters: somebody must own the system after launch, maintain documentation, and support users.

Remote Support and Onsite Support Are Not Opposites

Most software, account, device-management, and cloud-administration tasks can begin remotely. Physical cabling, equipment replacement, some network troubleshooting, and certain office changes require someone onsite. A practical support plan usually uses both.

Ask a prospective provider:

  • Which issues normally begin remotely?
  • What triggers an onsite visit?
  • Is onsite labor included, limited, or billed separately?
  • Which geographic areas receive regular onsite coverage?
  • Who coordinates with an internet carrier, copier vendor, building manager, or software vendor?
  • How are urgent physical failures handled?

For a Pasadena office, local coverage is valuable only when the agreement explains how and when that coverage is used.

What Actually Changes the Cost

Reliable pricing requires information about the environment and the desired scope. The main cost drivers usually include:

5. Projects and business change

Budget separately for office moves, migrations, major application changes, compliance initiatives, mergers, new locations, and automation work. These are not routine help desk tasks.

6. Contingency

Reserve room for unplanned failures, vendor changes, urgent security work, and business initiatives that were not known when the annual plan was created.

  3. Which services or licenses are billed separately?
  4. How are support priorities defined?
  5. When is onsite work included?
  6. Who owns vendor coordination?
  7. How are backups tested, and who reviews the results?
  8. How are security events escalated?
  9. What documentation will the business be able to access?
  10. How are projects scoped and approved?
  11. What happens when the business adds people, devices, or locations?
  12. What is the process for ending the agreement and transferring access?

Choosing a Model for a Pasadena Business
