Start with the production agreement

List the projects, facilities, cloud applications and vendors that can touch unreleased material. Ask the content owner which security requirements apply to this engagement and who may approve exceptions. A freelance editor working remotely and an on-site finishing suite need different access arrangements, even when they work on the same title.

An assessment gives content owners information about security preparedness within its assessed scope; it is not a promise that a supplier cannot suffer an incident. Fit tools to the edit workflow

Inventory shared storage, editing workstations, render hosts, transfer services and review platforms. Record application versions, plug-ins, licensing dependencies and the person who approves upgrades. Test a change with a representative project before scheduling it across active workstations. Benchmark the files and concurrent users you actually expect; a headline network speed does not describe an entire workflow.

Use an identity provider with multifactor authentication where supported, managed endpoints and project-scoped permissions. Separate guest access from production systems and document remote vendor access. If a platform supports watermarking or download restrictions, confirm how they behave in the intended review workflow. These are tool-selection questions, not claims that every product provides the same protection.

Rehearse one missing-file incident

Choose a non-sensitive test project. Have an editor report a missing file, identify the authoritative copy, restore to a separate destination and check that the timeline relinks correctly. Record elapsed time as an observation, not a promised recovery target. Agree who can contact the content owner if material may have been exposed.
